Enquiry-to-Opportunity Workflow

Bringing scattered enquiry information, documents, quotations and follow-up into one understandable process.

The challenge

Enquiries could arrive through online forms, email, phone calls, meetings and referrals. The challenge was not simply collecting them—it was keeping the information organized as staff reviewed each case, requested clarification, prepared quotations and followed up.

What CIVRA designed

CIVRA mapped a single workflow around the organization's existing Google Workspace environment. The proposal brings enquiry validation, connected documents, staff review, quotations and follow-up into one process for stakeholder review.

People stay in control

The workflow supports the administrative work, but it does not decide what the organization should do. Staff remain responsible for clarification, routing, quotation readiness and the final outcome of each enquiry.

What this prototype taught us

A working demonstration is a starting point. The people who use and approve the process still need to confirm the requirements, responsibilities and next steps. CIVRA can guide that conversation and prepare a summary for review.

This remains a proof-of-concept example, not a completed client deployment. No improvements in response time, bookings or staff workload are claimed.
