The challenge
The organizing team needed to turn approved registrations into individual passes for attendees, while keeping distribution manageable and making entry on the day of the event easier to control.
What CIVRA designed
The workflow connected registration records to individual Adult and Child passes, each with its own QR code and pass identifier. Organizers could review the generated PDFs before distribution, while authorized staff could scan passes at the venue using familiar mobile devices.
Event-day operation
The check-in design included a check for already-used passes. The same attendee records also supported the event's lucky-draw workflow, while the organizing team remained responsible for event-day decisions.
The work around the passes
The process also required clear registration statuses, agreed Adult and Child categories, lucky-draw rules and responsibilities for reviewing and distributing passes. Staff devices and the check-in process needed testing before use.
